SFB Motorcycle Tours – Booking Terms & Conditions

1. Booking and Payments

By booking a guided motorcycle tour with SFB Motorcycle Tours, you agree to these Terms & Conditions. A booking becomes binding for both parties once the initial payment is successfully processed. During checkout, you may choose to pay either a strictly non-refundable Reservation Deposit of €500 or the Full Tour Price upfront.

If you choose to pay only the deposit, the remaining balance must be paid in full no later than 1 day before the tour departure date. An invoice with a payment link for the final balance will be sent to you prior to the due date.

If you choose an installment plan provided by a third-party payment gateway (e.g., Klarna), you are bound by their specific payment terms.

2. Cancellation & Refund Policy

Because we must secure premium motorcycles, accommodations, and support staff well in advance, our cancellation policy reflects the financial commitments we make on your behalf the moment you book.

If a customer cancels their booking, the following conditions apply:

  • Cancellation more than 7 days before departure: The €500 Reservation Deposit is non-refundable. It will be retained to cover administrative fees and advance bookings. You will not be charged for the remaining balance.
  • Cancellation less than 7 days before departure (or after paying the final balance): 100% of the total tour price will be charged. No refunds will be issued.
  • Leaving the tour voluntarily: If you leave the tour early for any reason, no refunds will be issued.

To request a cancellation, you must contact us directly in writing at [email protected]. The cancellation date is the day we receive and acknowledge your written notice.

Note: We strongly require all riders to purchase comprehensive travel insurance that includes trip cancellation cover to protect against unforeseen personal emergencies.e.

3. Tour Cancellation by SFB Motorcycle Tours

Our guided tours require a minimum number of participants. If the minimum number is not met, we reserve the right to cancel the tour. You will be notified of any such cancellation no later than 31 days before the departure date. In this case, any payments made to us will be refunded immediately in full, or you may choose to transfer the funds to another tour.

4. Rider Requirements, Liability & Insurance

  • Risk and Responsibility: You participate in the tour at your own risk. Traffic culture and road conditions abroad may differ significantly from your home country. You are responsible for any damage caused to yourself or third parties.
  • Motorcycle Rental & Damage: All rental motorcycles include mandatory local traffic insurance. However, you ride at your own risk and are financially responsible for any damages caused to your rental motorcycle up to the rental company’s specific deductible (excess).
  • Insurance: You are strictly required to have personal travel and medical insurance that covers riding large-capacity motorcycles abroad and includes medical repatriation.
  • Rider Requirements: To participate in our tours, you must be at least 25 years old and hold a valid, full ‘A’ category motorcycle license for a minimum of 3 years. Please note: For certain Premium Upgrade motorcycles (e.g., Ducati DesertX, BMW R1300GS), our rental partners may require a minimum age of 28. Riders aged 25–27 selecting these premium models may be subject to a local ‘Young Driver Surcharge’ applied by the rental agency.

5. Flights and Arrival

SFB Motorcycle Tours does not sell flight tickets. Do not book your flights until we have officially confirmed that the tour will take place. If you book flights before our official confirmation, we are not responsible for any costs incurred.

6. Fuel Policy

For riders using our rental motorcycles, the cost of fuel during the official riding days is included if it is mentioned in the tour description. Otherwise, fuel is not covered by SFB Motorcycle Tours. Riders using their own motorcycles must arrive on Day 1 with a full tank of fuel paid at their own expense.

7. Photography and Media Release

During the tour, SFB Motorcycle Tours or its representatives may take photographs and record videos of the riders, the motorcycles, and the scenery. By participating in the tour, you grant us the right to use these images and videos for promotional purposes, including on our website, social media channels, and marketing materials, without any compensation. If you do not wish to be photographed or filmed, please inform your tour guide at the beginning of the trip.

8. Itinerary Changes & Flexibility

Adventure motorcycling inherently involves unpredictable elements. SFB Motorcycle Tours reserves the right to alter the route, accommodations, or itinerary due to weather conditions, road closures, safety concerns, or other unforeseen circumstances. The tour guide has the final authority to make route decisions to ensure the safety and enjoyment of the group.

9. Force Majeure

SFB Motorcycle Tours cannot be held liable for any delays, changes, or cancellations caused by “Force Majeure” events. This includes, but is not limited to, natural disasters, extreme weather, war, civil unrest, terrorism, pandemics, border closures, strikes, or any other events beyond our reasonable control. In such cases, we will do our utmost to provide alternatives or reschedule, but we are not liable for any additional costs incurred by the traveler.

10. Governing Law and Jurisdiction

These Terms & Conditions, as well as the entire contractual relationship between the traveler and SFB Motorcycle Tours, are governed by the laws of Finland. Any disputes arising from these terms or the tour itself shall be settled exclusively in the competent courts of Finland.
